Help centre Preparing the tournament

Online team registration

In the tournament's “Registrations” tab, set up the form and tap “Save form”: you get a link so teams can register without an account. Then you add them with “Add to tournament”.

  1. Go to “Tournaments”, open the tournament and go to the “Registrations” tab.
  2. Under “Registration form”, leave “Registration open” ticked and, under “What you ask for”, choose the optional details: “Category”, “Club or town”, “Number of players”, “Shirt sizes”, “Notes” and up to 3 questions of your own.
  3. Under “Places and deadline”, set the “Maximum places” (empty means “No limit”) and the “Deadline”, if you want one.
  4. Under “Payment”, set the “Price per team (€)” (0 = free) and choose how teams pay.
  5. Write the “Registration terms”, if there are any, and tap “Save form”.
  6. Under “Registration link”, tap “Share public link” to send it on WhatsApp, or “Copy”.

The team name and a contact person with email and phone are always asked for. Teams don't need an account: they open the link (with your club's badge and colours), fill it in and tap “Send registration”. At the end they see their receipt, with a link that only they and you have.

Taking the entry fee

  • Free: the registration is “Confirmed” straight away.
  • “Bank transfer to the club (you mark it «paid»)”: write the “Payment details for teams”. The registration stays “Payment pending” until you tap “Mark paid”. No fee.
  • “Card through the TournAI gateway (2% fee)”: the team pays when registering and the money goes to your club's Stripe account. You have to connect your payments first (see “Taking card payments for registrations”).

The list of registered teams

  • Filter by status: “Payment pending”, “Paid”, “Confirmed”, “Waiting list” or “Rejected”.
  • Tick several boxes to “Mark paid”, “Confirm”, “To waiting list”, “Reject” or “Delete”.
  • When the places are full, the next teams go on the waiting list. Tap “Give a place” to move one up: it becomes payment pending, or confirmed if it's free.
  • After the deadline, the form closes by itself. The same team can't register twice in the same category.
  • “Export CSV” downloads the list you're looking at; it opens in Excel.
  • Already have the teams in an Excel file or Google Forms? Use “Import teams” (see “Importing teams from Excel, CSV or Google Forms”).

Registrations “To review”

If something doesn't add up with a card payment, the registration shows the “To review” tag with an explanation of what to do. Once you've sorted it, press “Reviewed” and the tag goes away. Possible reasons:

  • A different amount: the team paid a different amount by card from the price. The registration stays “Paid”; if needed, refund the difference from your Stripe or ask the team for the rest.
  • Paid twice, refunded automatically: the second payment has already been refunded. You don't need to do anything.
  • Paid twice, not refunded: refund the second payment from your Stripe (Payments › the payment › Refund).
  • Failed bank debit: the registration stays “Payment pending” and the team can pay again from their receipt.

Adding the teams to the tournament

  1. When there are paid or confirmed teams that aren't in the tournament yet, tap “Add to tournament (N)”.
  2. The tournament form opens with the new teams already in their category. Check it, tap “See proposal” and then “Save the changed tournament”: the schedule is rebuilt with everyone.

You can only do this before the tournament starts. If it has already started, you'll see “The tournament has already started: teams can only be added before it starts.” And if they don't fit your plan, the limit warning appears.

If TournAI has email sending switched on, the team receives “Registration received” and you receive “Nueva inscripción: …” (in Spanish). If not, no email is sent: the receipt on the website is just as valid, so ask teams to keep their link. If a registration is marked “To review” because of a different amount or a repeated payment that couldn't be refunded, you also get an email “Inscripción por revisar: …” (in Spanish).

Only you can see the teams' contact details. Your club is responsible for them: use them only for this tournament.
